Sharing Tasks with People

Let’s face it. We can’t do everything ourselves.  There will be times when a task needs to be delegated.  And what better way to do this than via Get It Done.  It’s not necessary for a teammate to have a Get It Done account in order to add the person.  You could create a teammate called “Dad” and just throw tasks in there (i.e. “car making funny noises”) for next time your father comes up to visit.  Since Dad likes to fix things, why not have a to do list handy in case he asks “Is there anything you need help with now that I’m here?”.   Get It Done can even print your list in an easy-to-read checklist format that’s sure to make any organized Dad proud.

To add a teammate, click the “add” button  next to “People”.  The following dialog should pop up for you.  If your teammate has a Get It Done account, enter a name his/her email address.  Make sure it’s an email address he/she uses to login into Get It Done.  If your teammate is not a member of Get It Done, no problem!  We’ll shoot that person an email inviting him/her to join the fun.

For this example, we’ll call the new teammate, Santa.  You can have more team mates besides Santa.  You can add his elves and the Easter Bunny, too.   Whomever you like.  Go nuts!

To assign a task to Santa, simply drag the task over to his name.  That task will be removed from your view.  You can only see that task when you go into Santa’s folder now.  When Santa checks off the task, you’ll see it checked off in your list.

If Santa has an email address, he will get an email notifying him of the task you just assigned to me.  New tasks automatically get put into his Inbox.  He can then choose to move the task into the other focus groups and categorize it according to his priority.  You cannot see what he does to the task but you will know when it’s complete.  Once Santa marks the task as complete, it will show up  in your Santa list as complete.  Not to worry.  Santa won’t be able to see your tasks.  He will only be able to see those assigned specifically to him.  Teammates work in both directions.  He can also assign tasks to you.  And you’ll be notified the same way via email when he does so.  You’ll also be able to tell which ones he has assigned to you.

    how did you know that the task assigned to person B is finish. what will i see on my side?

    If you click on their name you will see if the task is checked off or not.

    How can I view all my staffs tasks? They have their own logins and if they add other tasks themselves I don’t seem to be able to see them from my login so I can’t tell what work they have on for the day.

    I am trying to figure out if there is a way to assign one task to two people (each of whom need to complete it individually before it is actually done). Do I need to make two tasks (one for each of them)? Or is there a simpler way to do it?

    You can only assign a task to one person, you will have to create 2 tasks for 2 people.

    Hi, great looking package so far (on 9th day of trial). I don’t see something that I can us for the “Waiting For” list, i.e. something to keep track of actions that others need to take. Can you advise of an alternative method to track this?

    You can make a ‘Waiting for’ person or you can create a person for who you are actually waiting for.

    I am currently evaluating GID, and it looks pretty good so far. I have a couple of questions about task sharing:

    1. I can’t see any ‘People’ in the IPad app. How do I share a task from the IPad?
    2. Is there a way to share projects? I.e. I would like to have a shared task list without having to explicitly share each task individually.

    we are working on bringing people to the mobile apps, currently you cannot share entire projects but only tasks.

    Re: emailing tasks.

    Hi, Mike. I used a Franklin Planner for years, but now my wife and I are implementing GTD and I’m experimenting with a few different apps. I’m a parish pastor with a parochial school that uses MS Exchange and the MS Office suite. Most of the staff uses Outlook and it will likely be years before I get get them on GTD and able/willing to use something other than Outlook. I am completely going away from Outlook because it won’t sync tasks with our Android phone (there is no app for the GTD add-in that I know of). I wish I could work off-line with GetItDone but oh well. What I’m sure that I WILL NOT be able to pull off is getting everyone on GetItDone with me at $40 annually. What I understand with the GID task sharing is that they’ll be able to receive a task from me only if they have GID. Is that the case? I sure wish I could generate an email from a task and send it to people that way. Then they can take the email and use it in whatever system they use. Sorry for the rant. Implementing GTD is proving to be much more challenging than I thought, but for my wife and I GID seems really nice.

    If you enter their email address into the system they will get an email informing them of the task, the only bad part of them not being in the system is that you will not know when the task it done, they will have to tell you manually.

    Anyone can share tasks with anyone but one task can only have one person it is assigned to

    Trying to figure out if there is true collaboration. For example, there are three of us that need to see everything at all times? Can we share a login? Just assigning a task is not enough, but need to all three have transparency, full editing, etc. Is this possible?

    Sharing the same email/password is the only way for everyone to see everyone else’s tasks.
