How-to use ‘Get It Done’ to get Organized?

Your Focus Groups

The first thing you will notice after you login to http://getitdoneapp.com are the folders: ‘Inbox’, ‘Today’, ‘Next’, and ‘Someday’. If you are already a “Getting Things Done” or GTD blackbelt, then you might be able to guess what these mean. But for everybody else, let me explain.

Inbox

The inbox is where you dump anything and everything that is on your mind. The theory is, you can only think about a few things at a time so if you dump everything that is on your mind into the inbox, then you can think clearer about what is on the agenda for today.

After you dump all the tasks into your inbox, then you go through each one task and put it into one of the following folders.

Today

Today is, well, what you plan on doing today. Easy enough, right?

Next

Next are tasks that you want to do real soon but you won’t be able to get to them today. Everyday you will probably go through your Next folder and figure out what you are doing for that day.

Someday

Someday should contain all the tasks that you want to do one day but you really don’t have the time or maybe you just don’t want to do them any time soon. You put these tasks in here so you won’t forget about them.

Scheduled

The Scheduled folder is special.  It has two features:

  1. If you drag a task into the Scheduled folder, we will pop up a calendar where you can pick a date in the future when you want us to put the task in your inbox again.  This is handy for tasks you don’t need to think about until a specific date (i.e. Change clocks on March 13th). This is a great way to keep the things that you don’t have to think about out of sight and out of mind.
  2. This is a place to see all your recurring tasks, as well as the tasks you’ve rescheduled in step 1.  You can create recurring tasks anywhere.  But this folder is where the recurring tasks mainly reside, organized in neat sections based on their recurring schedule (daily, weekly, monthly, and yearly).

    In settings, you say that I can receive an email with my tasks at a scheduled time each morning. This didn’t happen today. Is the email sent to my email account I signed in with, or does it have to go to the email account you have generated for me? If so, what are the pop settings to set this email account up on my computer?

    I’m still on the 15 day trial of the website program but have bought the iPhone app. On the app, is there anyway I can email a copy of my tasks to myself so I can print them out?

    You should first check to see if your timezone it set correctly in your settings in your online Get It Done account. Another thing to check is to that it didn’t get stuck in your SPAM folder (if you have one). We send the email to the email address that you signed up with, also make sure that is spelled correctly (also in settings).

    You can print out emails right through the online app by using the Export->Print List OR Export->Save Spreadsheet options.

    For some reason my getitdone iphone app stopped syncing with the web version. Everytime it tries to syn, it times-out after 20 seconds. What can I do to fix this?

    We have seen this bug a few times and it is fixed in the next iPhone release we submitted to Apple yesterday.

    In the meantime the only way to get around it is to reset your data on your iPhone. You might lose any tasks that are on the iPhone but are not on the server, but all the tasks on the server will be brought down to your iPhone. To do this:

    - Go into Get It Done on the iPhone
    - Click settings
    - click “Reset Data”

    Sorry for the inconvenience and keep any eye out for the new iPhone app in the upcoming week. Let us know if this fixed your issue.

    As long as you are connected to the internet through wi-fi you can sync. You can work offline when you are not connected and sync when you get internet access again.

    I don’t know if this is the place to leave feature requests/suggestions, but . . .

    Maybe I’m more absent-mined than most, but I would find it helpful if the project a task is associated with was displayed somewhere in the task. Unless I’m missing something, the only way to tell for sure (except from memory) what project a task is associated with is to highlight each project and look for the task.

    Example: I have a task that says “buy 3-1/4 wood screws” — if I have a dozen house projects going on at the time (not uncommon), I don’t know why I’m buying them if the project title isn’t attached to the task somehow. Even if it went in the dialog only, that would be a help. (I know I can get around this by saying “Buy screws for XXXX,” but that seems to defeat one of the purposes of an organizing tool like this.

    Currently I tag all my tasks so I could quickly look at the tags and see what project it is associated with.

    Hi Mike- thanks for your timely response. Unfortunately your suggested fix didn’t resolve my issue. My iPhone app reset but still didn’t sync with the laundry list of tasks I created online. I guess I’ll have to wait for the updated app.

    Meanwhile, now I can’t log in to my online account. I seem to have forgotten my password and though I submitted an email password request 5 hours ago, I still haven’t received it. I tried 4 more times, and still nothing. Please help…

    may I suggest that you make easier the entry of new tasks? The best way would be, to have a simple entrance door like ‘Geistesblitz’ at http://www.mindmeister.com. Toodledo opens at least immediately the iphone key board, if you open the new tasks page.

    I’m loving using this product. The interface is intuitive and the look aesthetically pleasing.

    As I’ve worked more with the projects feature I’ve found that I would really like to have an outcome statement associated with each project that I can see (possibly at the top of the page) when I click on the project. As the GTD system notes having an outcome statement to remind you of the ultimate goal of the project helps provide clarity as you move through the “doing”.

    Any possibility this might be in a future update?

    Very happy with the website and the iphone app. Both have become a central and dependable part of my daily life. The only piece I am missing is an offline application. I travel often, and long flights are the perfect time for a major review of to do lists – just ask David Allen. Do you have any plans for an offline application (both Mac and PC) to round out the picture?

    We probably won’t come out with a mac/pc version. We made the iPhone app so that you can work offline. Once HTML 5 web browsers are more prevalent we can also do offline access through the web browser.

    Morning-

    I subcribed yesterday for i year after a 15 day trial that ended a few days ago. I was assured by Michael that my tasks would be up today and they were. Problem is that the tasks are outdated and do not reflect my current items some of which are still pending and some new as of yesterday afternoon.

    Please review my account and update asap. I think it’s great to wake up in the am(PST) and see what needs to be done today.

    most people are using tags for their context, for example you can have a @home or @work context (or tag) a few people also set up a project called @home or @work with those same tags to further separate the tasks

    I’m trying to switch to Get It Done from Outlook and I’m really missing being able to mark a task as: In Process, Delegated, and Forward (to quickly move the due date forward in time). I’m only seeing the option of Done or Not Done. Am I missing something?

    I (like many other) use tag as GTD-context. I would like my projects to be context free and my tasks in the project then has tags (and context) attached to them.

    The project itself cannot have a context since it cannot be performed at any specific location.

    Is it possible to create projects without a tag connected to them?

    Yea, I now have 11 days left on my online trial. I was emailing someone about how it won’t sync with my ipod, but I haven’t heard from him in a while. The app on the ipod says it’s syncing, but the window online remains the intro window. That little “buy now” thing every time I log in is getting irritating. No. Why buy something I can’t sync to?

    Can you try to delete the app from the iPhone and “re-buy” it through the Apple App Store on the iPhone? Apple will not charge you twice for the same app.

    This almost always fixes any sync issues.

    Yes, as another poster said, it is a shame I can’t assign tasks to projects. I am using the ipod app. I have 3 days left on my online trial & still haven’t gotten it set up since it looks like I’ll have to delete the ipod app & I’m realizing the project feature isn’t that useful.

    For example, I make a tag called ‘house projects’ & one task was paint bedroom. Another was get a desk for my son’s room. Then I made a project called ‘work on bedroom.’ The problem is that when I choose a tag for it, ‘house projects,’ then it includes the task about my son’s desk, which has nothing to do with the bedroom. Tags seem like they’d be general sorting categories, while projects are finite & include specific tasks. It doesn’t make sense to include every task with a certain tag. My workaround now is to make a whole bunch of tags, then make a project for each tag. So now there is a ‘work on bedroom’ tag & a ‘work on bedroom’ project. I need to be able to assign just certain tasks to projects. Is this coming? I otherwise like the look of this app onscreen, I find it clear, but the many tags I have to make & the relative uselessness of projects detracts.

    I like the interface of your app, however, in my view the lack of customisation for the menus on the left, restricts the user as different people use GTD in different ways. It would be great if those could be modified, making the implementation easier to customise.

    I’m exploring whether this product will suit my needs (and that of my staff) now that I am about to need to work in a part Windows rather than all mac environment. So this will mean at home I am mac, work I am windows, and I will have an iphone.

    One thing I notice is missing with GID is an ability to work offline on my laptop – and I have not yet loaded the iphone app as yet, but working on the iPhone is not acceptable in terms of volume of work and speed of typing etc. There are instances (eg flying) where the net is not accessible.

    Have I got this right that the only ability to work with GID is when online or via the phone apps? Any thoughts of a software package here?

    One other question: It looks like the way to synch between phone and laptop is a wireless network only. Is there a way to do it with Bluetooth or something else? My office doesn’t yet use a wireless network for example (although I plan to change this) so this would mean if working in the office I can only synch to my phone when away from the office, so essentially I can’t take an updated GID on the phone out of the office if I work on my laptop in the office.

    You do not need wifi to sync your phone, you can do it over the regular cellular network. Any iPhone or Android phone should be able to do this. Just to clarify, when you make a change on your laptop all the changes are automatically saved on the internet (the cloud), any phone that can access the internet through wifi or the regular cellular or 3G connection can now sync with your online account.

    I have just put the new Get it Done 3.0 on my iPad. I’ve got things working on line as well.
    The only thing is that every other item I try to add to my tasks has the app freezing (whole screen gets a dark tone to it) Then it boots my iPad off my wifi. So I have to completely shut down my ipad, re-establish my wifi connection and do it again. Twice it’s deleted everything that I’ve put in it.
    What might be causing this?

    For the suggestion box —
    I would like to see an option to sort the lists by due date. When I get a longer project list, especially in the “Next” and/or “Scheduled” areas, it would be great to be able to sort by due date – for a chronological view of the list. I understand that you can manually move items around on the list, but a sort-by-date option would solve 90% of my sorting needs.

    If there is currently a way to do this, please tell me how to do it.

    I have a macbook air and would like to know how to have my Get It Done Account log-on automatically (similar to my google calendar) without having to put in my email and password every time I use my computer. It is inefficient to go through these two steps simply to see my to do list.

    We use the ‘People’ section for ‘Waiting for’. You can create a person called ‘Waiting for’ or you can put in the actually person’s name you are waiting for.

    The iPhone and web-based were working very well. But the iPad has some problem. There is no numbers next to the Inbox, Today, and Next. I.e., I cannot tell how many are waiting to be done from the left column. From the figure on the web the numbers should be there, and they were there before on the iPad version.

    Another thing in line with GTD principles is the ability to move projects back to someday if priorities change. I don’t see how one can move a project to someday, only tasks. This is a major issue as things change and the ability to move projects to someday is important.

    We are working on a way to archive projects but in the meantime you can use areas to separate your projects. For example if you have an Area for ‘Work’ you can create a different Area called ‘Work Archived” or ‘Work Inactive” where you put the projects that you are not not working on.

    I just noticed that one cannot assign a due date to a project. Why? I have several deadline-driven projects and it would be nice to see a due date for them. This would fit in nicely with a simple master list of projects — and the ability to also sort by due date.

    We only check this board a few times a day, if you need immediate assistance please use our feedback form.

    We are looking into sorting or filtering by due date, we do not know when this will make it into the app.

    We are also looking to revamp projects, we are not sure exactly what features are making it into the app and which are being left on the cutting room floor.

    Our underlining philosophy always has been for us to add functionality but at the same time keep the app as simple as possible. We do not want ‘Feature Creep’ or add any unnecessary bloat to the apps.

    Everything in Get It Done is moved manually except if you drag an item into scheduled or make a recurring task.

    Liking look of GID compared to Remember the Milk. Currently use Astrid on my android phone but this is not web-based but does have beta stage synch with Google tasks. Comparing this with GID before I buy. I can get GID on my Google calendar on iGoogle and on my calendar widget on my phone BUT would like a task widget so I can see non-date specific tasks (option to show individual projects on different widgets or even short-cut would be great) and also on my igoogle home page. Prefer Evernote to Google Docs but later can be linked to Tasks. GID behaving a bit unstable (flipping off back to homescreen) on my HTC Desire 2.2 android.

    You cannot sort by due date but you can ‘tag’ important tasks with a tag like ‘urgent’ so that you can easily filter out everything else

    I would strongly support this elementary sorting capability. It is a decent product – but there is so much basic functionality missing. And it is not great that ipad/iphone and the web app are not identical.

    Thank you for an extremely useful product, but I have noted two issues that I would like more information on before I subscribe.

    How can I delegate a task to a team member or person once I have created it? I see no way to do this online or via the iPad app.

    Another thing I have noticed in both the app & Website, despite having projects, I CANNOT assign a task to a project. Both platforms simply have “no project” as an option. Is this a bug perhaps?

    To delegate you just drag and drop within the web app, people and scheduled items are not yet in the mobile versions of the app.

    If the project is not listed make sure you have the proper ‘Area’ selected, we only show projects that belog to the particular area

    Hi,

    I’m using a combo of a desktop and iPad to use this application/website.

    You can’t really drag and drop within the website on the iPad – sorry I’ve tried and it just does NOT work.

    There are three things I would really like to see added

    A) Firstly the ability to have a folder and sub-folder for each particular area of focus. Maybe also some kind of tricker folder system as mentioned in the book.

    B) The ability to color code tasks.

    C) The ability to FLAG a task.

    I am sure I am not alone in finding those three things would be useful.

    Another idea you might like to consider is the ability to create a follow-up task when you are creating a new task. Here are two examples where that would be useful :

    1st E.g.) I need to write a Memo to someone, say John, which is going to be three pages. Task #1, Is to actually write the thing, Task #2 Is to integrate the appropriate business data/charts/spreadsheets into that document, Task #3 is to actually sit down edit and check the document before sending it off.

    2nd E.g.) Say I need to take photographs of a display in a store (or a family member). The first task would be to actually check the camera and camera’s batteries. The second task would be to actually take the shots, the third task would be to download them onto my computer and the fourth task would be to sort and edit them. Finally I may want to forward them onto the appropriate departments/people who may need them.

    Finally there are some tasks that I just need to copy because I may have to repeat it a number of times. For example : Print copy 1 of business report due 21 May; Print copy 2 of business report due 21 May etc.

    These are just a few things I would appreciate the developers of this product to consider and comment on before I actually commit to a year’s subscription.

    One feature we are looking closer at for a future version is integrating photos from the phone and documents like you suggested.

    Hi Mike,

    I just registered on your site and entered all my project data into it(which was a project in itself :) ). I also downloaded the android app from market and it seems to be working fine except one point. Sync stops when I set it to online and offline(auto sync). I have set it to online only and it started syncing with my online account. Can you explain the sync options and tell me what I am missing putting it to online only.

    Also, being an android user, I am looking forward to a widget with at least two features:
    1. Showing my today’s tasks, with changeable projects associated with today.
    2. Adding a new task without opening the application.

    When you are in online only mode every change that you make is made realtime on the server, the only downfall to this option is that you cannot access your data if you do not have internet access. For suggestions on fixing sync issues you can read this first:

    Hi Mike,

    just became a paid up member today. No everything isn’t perfect but this is the only to date which has provided a decent web/native android combination at a reasonable price.

    Smart Groups could maybe adopt features from other competitors of automatically picking the top 3 tasks from a given criteria in the web app and utilise predictive text in the mobile app (android in my case) for faster entry.

    I would also suggest if possible collaboration with Springpad as it is Android friendly unlike Evernote.

    Yes, tags can be used for context. Some people also use Areas for context, it all depends on your situation.

    Very, very slow program running on android-smartphone. Many failures. Also, it can not be closed (only through Task Manager smartphone). Why? Will this problem solved? (My smartphone – Samsung Galaxy Gio. Other organizers are working on it very quickly.)

    Mike,

    I love the web software but the android version is still really buggy. I also find I can’t close out of the app without using the task killer. I already mailed you my phone model HTC Desire HD which is totally different to Ihor_A’s Samsung model, but the problem seems similar. I can send you feedback through the phone as well if it makes any difference. Basically I just want to know if this is likely to be fixed any time soon as I can get by for now but if there’s no solution on the horizon it will be a problem.

    We have found some people were experiencing a simular issue if they had an SD Card in the device, some of these cards were corrupted and caused us to crash.

    We have also found an incompatibility with the 3rd party app ‘Smart Keyboard’

    I have installed the app for the iPad II and when pushing the sync button, it started syncing but is giving an error that I have never provided an email address in the first place. Nevertheless now the program is stuck and stopping the app, shutting down the iPad etc doesn’t work as by starting up it automatically starts the sync and gets the error again that I cannot stop.

    If you do not want to sync go into the settings in the app on the iPad, click on Sync Settings, click offline only. Your device should not sync any more.

    I’ve set up new projects within a new area, and assigned tasks to them using the web app, however these new projects don’t sync to the iphone or ipad app, so the new tasks are not assigned to any project on these devices. Any ideas?

    So…I’m confused. I have several scheduled and recurring tasks — some weekly, some monthly, some less frequently. So, on my Outlook Calendar for the first Tuesday of every month a scheduled task shows up 4 times. On Sunday — a weekly scheduled task showed up twice. What do you think is happening here?? This is quite annoying.

    Is there a way to export completed tasks from the trash as a spreadsheet? I tend to close and delete items as I complete them, but periodically am finding it would be helpful to have a list of what I completed in the last something period of time — week, month, etc. When I export, I get a full list of EVERYTHING, not the view I’m in (which is kinda what I expected to have happen, so imagine my surprise when I exported from the trash and got all my active tasks). Am afraid that if I uncheck the tasks in the trash, they’ll go active again and I’ll have to figure out which ones I completed all over again.

    Looking forward eagerly to 4.0! GetItDone has completely changed the workability of my life — I’m still a completely delighted user!

    Thanks for the suggestion, one work around for now is if you use Google Chrome you can create a ‘New Incognito Window’ if you want to use 2 accounts at the same time.
